Please can someone tell me how to avoid this time consuming and frustrating challenge that every time I go to open a word doc the system says it has to verify Word. Really grateful for help with this.

Locate the Word application in the Finder, and then right-click on it, then choose Open. This will cause the operating system to perform a security check of the application, and eventually pop a dialog that the application is from an outside developer, and there should be an OK button. Click that, and Word will launch. Once you quit Word, it should open its documents normally without the challenge dialog.
