How to Sync Documents BOTH on iCloud Drive AND on Box?

I would like to use iCloud Drive to sync my Documents and Desktop folders to access my documents on other devices.


I have been also syncing my documents to Box, and I would like to keep doing so. But currently the files are not in the Documents folder; instead they are located in /Users/Michael9009/Library/CloudStorage/Box-Box.


If I move the files from /Users/Michael9009/Library/CloudStorage/Box-Box to /Users/Michael9009/Documents, so that they sync with iCloud Drive, and I create aliases in .../Box-Box pointing to the new location of my documents in .../Documents, would my files still sync with Box?


Any other more elegant solution?

thats how iCloud sync works, yes.

unless the directory for Box is your documents folder, that is not possible. You would need to copy the files to the Box directory for syncing. And, if box syncs locally, you would be duplicating files. If box stores offline only you would be copying files to Box. It’s not a good idea to have multiple syncing services use files in the same directory.



For clarity, I would like to have a set of offline files on my HDD on macOS, with identical, real-time copies in both iCloud Drive and Box, for online access from other devices.




Would this be possible?

@Richard.Taylor: Excellent, clear and complete explanation. Thank you!


To summarize:

    • The files in the iCloud Folders on the Mac - Documents & Desktop - are stored locally on the hard drive and they are included in Time Machine backups of the hard drive.
    • Copies of the files in the iCloud Folders on my Mac - Documents & Desktop - are also made in iCloud Drive, and they are accessible remotely on iCloud online and from other devices.
    • The 'Optimize Mac Storage' is set to On, but the hard drive is large, with 85% of the capacity being free, which is significantly more space than what I've got in iCloud, so there should be no issue with this. Hence, the Time Machine Backups should be complete.


I believe my understanding is correct now.


Where is the 'Optimize Storage' on iOs or iPadOS? Under Settings -> General -> iPhone Storage I only can see 'Offload Unused Apps' and nothing under Settings -> Michael9009 -> iCloud.

So this method does not work, apparently. Box cannot acces the aliases for the folders in Documents: "Item “Alias Folder” is used by macOS and can’t be opened."


Any other suggestions, please?

Thanks. It seems I may not be able to do what I want.


For the time being, I decided to copy all files and folders from /Users/Michael9009/Library/CloudStorage/Box-Box to /Users/Michael9009/Documents, and then I activated 'Desktop & Documents Folders' in iCloud. Going forward I will work only in the latter folder.


The weird thing was activating 'Desktop & Documents Folders' in iCloud removed all my files and folders from my Desktop and put them in a folder called 'Desktop - Michael9009’s Mac Studio'. So all my grouping and arrangement of the icons on my computer's Desktop is now gone... everything went into a folder. 🤯


Does this mean that if in fact I move all those files and folders back to the computer's actual desktop, they would not be synced to iCloud? (I don't really need these files to be synced with iCloud, but I want them on my screen's desktop.)


Also, would it be fair to say that a copy of the content in the Documents and Desktop folders, which now syncs with iCloud Drive, will always stay on the hard drive, so that will be included in my local drive Time Machine backups?

Adding to muguy's advice: iCloud Drive is a folder on your Mac. If you see a folder, like Documents, there, then you are seeing the Documents folder on your Mac. Including Documents in syncing with iCloud just puts the Documents folder in the iCloud Drive folder instead of in your User folder. Otherwise, it's the same.


Things in your iCloud Drive are copied to iCloud.com where you can see them and use them from the browser. If you have other devices connected to iCloud, then the contents of iCloud Drive can be seen and used on those other machines, as well. But, the Documents folder is local to you. This applies to anything you put in the iCloud Drive folder.


With any folder on the Mac, if you drag a file from Folder A to Folder B, then the file disappears from Folder A and reappears in Folder B. So, just like any other folder transfer, if you drag a file from Folder A to the iCloud Drive folder, it will disappear from Folder A and begin living in the iCloud Drive folderr on your Mac. It will also be copied to the iCloud Drive folder at iCloud.com. If you drag a file from the iCloud Drive folder on your Mac to Folder B, then that file will disappear from the iCloud Drive folder everywhere, and only be available in Folder B on your Mac.


If you try doing this with two different services, then you set yourself up for infinite loops of each service copying a changed file, causing the other service to see a change and copying, so the first service sees the change and…


If you have "Optimize Mac Storage" turned on, then when your Mac's hard drive gets really full, some lesser used files will be removed to make room. When you need one of those removed files, the Mac will grab the copy at iCloud.com and copy it to your Mac where it will again become a local file. You always use local files. This should all happen transparently. Perhaps the biggest downside of "Optimize" is that backups may not include all your files. I don't do "Optimize" on my Mac, though I use it on my iPhone which has way less storage. To keep the room I need on my MacBook, I put stuff on a tiny (like 1 ounce) SSD that I carry around. I try to keep 20% of my internal drive free. Apparently, in Sonoma now, you can choose files to always keep local, and you can choose files to keep offloaded, but I haven't had experience with that yet.


(You guys weren't talking about Optimize, but I thought that I'd just throw it in…)

I can tell you where it used to be…


But I can't find it in iOS 18! If in Settings you search for "Optimize," you get results for Photos and Music, but nothing else. This seems to be a big change! I'm guessing that Drive is always optimized, but I haven't found a reference. It's a surprise. Optimize Mac Storage still exists for the Mac.


I'm not absolutely sure that 85% free guarantees that your iCloud Drive files will remain always on the local drive if you have Optimize turned on. But then, the only real reason to have Optimize turned on is that you're low on storage space. And, personally, if I run low I will choose to put stuff on a portable drive.


On the other hand, you can select to offload some files to iCloud's iCloud Drive so they are only downloaded when you click on them. In iOS and iPadOS, you can choose to designate files to "Keep Downloaded."
