iMac iCloud Photos not syncing; need setup help

I use a 24-inch 2023 model iMac with Tahoe 26.1 installed. This morning, looking for a particular photo, I realised that many were missing.

Presently, I hold all my photos on an external hard drive, and this tells me they amount to 3,800. However, on iCloud, it tells me it has over 6000 photos and the same on my ipad

I want to revert to accessing all my photos through iCloud and discard the external hard drive storage for the moment. I have spent a while going through various scenarios as to how to do this and am a little perplexed.

When I open up settings on my iMac and click on iCloud, then Photos, it shows the button as on to allow sync but this must not be happening for some reason

I want my iMac to access the icloud photos in the same way my iPad does (I guess) Am I missing something?

Can someone tell me in layman terms how I set my Mac up so that it accesses iCloud?

Unlike an iPad, a Mac can have several different Photos Libraries. Only one, the System Library, connects to iCloud. So one possibility is that you're looking at the wrong Library.


First, we need t double check that your external drive is correctly formatted  in either APFS format or Mac OS Extended (Journaled) format. Other wise the Library can be corrupted, and Photos will refuse to use it. Is the format OK? See this for more info:

You can see what Photos Libraries you have by opening the Library Chooser. Close Photos and option click the Photos icon to get this:

You can see which Libraries you have, where they are, and which one is the System Library.


The System Library is set in Photos' Settings>General


iCloud is controlled by Photos' Settings>iCloud


You can just create a new empty Library, make it the System Library, connect it to iCloud, and then just wait for it to fill from iCloud. That could be the easiest thing.

Good. For future reference, APFS is rather better, especially for solid state drives. But you are fine!

I'm guessing that you mean Photos.photoslibrary and Photos Library 2.photoslibrary. These are "packages," a type of folder with a bit of protection, that have the database and supporting files. The default name, the name given when you first open Photos, is Photos Library.photoslibrary, and that is usually in the Pictures folder belonging to the user on the internal drive. (You might want to check that, as well.) So apparently these Libraries have been purposely created by someone.

… I guess I have three questions arising:
1/ am I now able to delete the files containing the 3000+ on both the iMac and the external disc or should I run some sort of merge programme first?
2/ would it be prudent to now save all 6000 photos on to my external disc as a backup?

It's prudent to keep double copies of everything. I do Time Machine backups to two different drives, one solid state and the other spinning, just in case. (I've recently had two SSDs go belly up!) iCloud should not be thought of as a backup, since it quickly copies mistakes.


Here's one merging suggestion: In your System Library choose the menu File>Import, and select the other Library, then "Review for Import." Photos will tell you that some pictures are already in the Library.

Then you can go through and select among the new ones, or just Import All New Photos. Super easy! Pictures that look the same but have different filenames or different resolutions may get through the filter, so you can get those later with Photos' built-in duplicate finder.


If you've done lots of organizing of pictures into albums and folders, then you lose that organization-- the import process only gets pictures, not albums. If Albums and Folders are important, then the best merge system is the trusted 3rd party app PowerPhotos ($40) ) which will merge Libraries preserving the organization.

3/ how can I move the file holding albums on the external disc and incorporate them back into my iMac

The Library Package, like any folder, can just be grabbed and dragged to the Pictures folder on the internal drive, if you don't want to keep it kept on the external drive.


If by "incorporate" you instead just mean that it's the main one-- You can continue to double click on any Library to open it in Photos. Photos will, next time, open the same Library. The System Library is the one that Safari and other apps can be allowed access to. iCloud connects only to the System Library. If you change the System Library designation to another one, then all the pictures in the new System Library will be added to what's already in the iCloud Library, and it may initiate an extensive and lengthy re-scanning. Switching System Libraries connected to iCloud is done only after a good deal of thought and preparation.

Oops-- two afterthoughts:


First, a warning: A Package in not meant to be opened. You can open it, but messing with the inside files can totally corrupt the Photos system, making it unusable. Don't open a Photos Library Package unless you have a reliable backup!


Since you are using iCloud Photos, I should have add that another way to merge to Libraries is to use iCloud Photos. Since iCloud Photos only adds pictures when you connect a Library, you can, after you're sure your System Library is fully copied to iCloud, switch the System designation to the other Library, and let it synchronize with iCloud. Then it and iCloud Photos will both have all the pictures, albums, folders and all organization, and you're good to go.

I then Option-clicked on 'Photos' on the iMac and selected the photos designated as the system library, and was able to see all 6,000+ photos.

I could also see the other set, known as Photo Library 2, which again has the same 3000+ photos as contained in the external hard drive.

I guess I have three questions arising: 1/ am I now able to delete the files containing the 3000+ on both the iMac and the external disc or should I run some sort of merge programme first?
